The main rule: documents must be submitted no later than 20 working days before the expiration of your current visa. If you miss this deadline, you risk losing your legal status in the country.

But when is the best time to start the process? Opinions differ here. Some voivodeships accept documents even a year before the card expires, others set a limit — maximum three months. Therefore, the first step is to clarify the requirements of your specific office (urząd).
Important note: after submitting documents, you will receive a stamp in your passport. It confirms your right to legally stay in Poland until a decision is made. But be careful with trips outside the country — returning may be more difficult than it seems.

The law is clear: documents must be submitted at least 30 days before the current card expires. But experienced lawyers advise starting much earlier — 4-5 months in advance.
Why so early?

- Government offices are overloaded — processing times stretch
- If something goes wrong, you’ll have time for corrections
- You won’t be nervous in the final weeks
For Ukrainians with temporary protection, special rules apply — protection is automatically extended until March 4, 2026, or until September 30, 2025, depending on the grounds.
What If You’re Late with Submission?
Technically, documents are accepted until the last day of legal stay. But this is playing with fire — if you don’t make it in time, you’ll lose your status.
Good news: after submitting your application, you’ll get a stamp in your passport. It confirms your right to stay in Poland until a decision is made on your case.
Can You Apply Too Early?
This depends on the voivodeship:
- Some offices accept documents a year before the card expires
- Others set a limit — maximum 3 months

Employment Contract
A valid contract with an employer is a key document. Any of these options will work:
- Umowa o pracę (employment contract)
- Umowa zlecenia (mandate contract)
- Umowa o dzieło (specific task contract)
Important: with a specific task contract, you need to additionally confirm medical insurance — the employer is not obligated to make contributions to ZUS.
Income Confirmation
You need to prove that you have stable income. Prepare:
- Salary certificate
- Bank statements (if required)
- Tax declarations (PIT-37/40)
- ZUS RCA contributions for recent months
Salary must not be lower than the minimum — from 2023 this is 3,600 zloty gross.
State Fee Payment
For card extension, pay 100 zloty. Transfer to the voivodeship office account.
Lost your card? Then it’s more expensive:
- First replacement — 200 zloty
- Repeated loss — 300 zloty
50% discounts: minors under 16 years, students, people in difficult financial situations.
When Changing Employers
Changing jobs? Additional documents are needed:
- Application for permit change
- New Appendix №1 from employer
- Starost’s information (if required)
- Stamp duty — 220 zloty
The card remains the same, validity period doesn’t change. Only if the data on the card has changed — you pay an additional 50 zloty for a new plastic card.

Stage 1. Document Preparation

Stage 2. Registration at the Office
Most voivodeships work through an online calendar. Some offer family registration by email.
