Marriage registration in Poland for Ukrainians: documents, the USC and what to know in 2026

Ukrainian citizens may enter into a civil marriage in Poland whether both partners are Ukrainian or one partner has Polish or another nationality.
The ceremony itself is usually straightforward. Foreign civil-status records, sworn translations and proof of legal capacity to marry are the steps most likely to delay the process.
The guide below reflects information checked on 29 July 2026. The selected USC makes the final decision on the documents required in an individual case.

Where marriages are registered
A civil marriage is registered by an Urząd Stanu Cywilnego — USC. A couple may apply to any USC in Poland regardless of residence. It is sensible to send scans first and obtain an office-specific document list.

Legal capacity certificate and the court waiver
This is often the most difficult part for Ukrainian applicants. If obtaining a suitable certificate is impossible or involves obstacles that are difficult to overcome, the foreign national may apply to the competent district court, family division, for exemption from filing it.
The court determines whether the person may marry under the applicable law. The court fee is PLN 100 and proceedings may take weeks or months.
Apostille and sworn translations
Ukrainian civil-status documents may require an apostille. Poland and Ukraine are parties to the Hague Apostille Convention, but the requirement should be confirmed with the chosen USC for each document.
Every foreign-language document must be accompanied by an official Polish translation. An ordinary or machine translation is not accepted.
Interpreter during the procedure
If either partner cannot communicate with the registrar in Polish, the couple must arrange an interpreter for declarations and the ceremony. The couple selects and pays the interpreter. A non-Polish-speaking witness may also require language assistance.
Step-by-step procedure
1. Choose a USC and confirm the required documents.
2. Obtain Ukrainian records, apostilles if required and sworn translations.
3. If necessary, obtain a final court waiver for the legal-capacity certificate.
4. Attend the USC in person with the documents and interpreter.
5. Sign the assurance that there are no legal impediments to marriage.
6. Pay PLN 84 and agree the ceremony date.
7. Attend with two adult witnesses and valid identity documents.
Waiting period
A civil marriage is normally celebrated no earlier than one month after the assurance is filed. The USC head may shorten this period for important reasons.
The assurance is valid for six months. Court proceedings are often the longest part of the process.

Marriage and immigration status
Marriage does not automatically legalise residence, issue a residence card or grant Polish citizenship. A spouse of a Polish citizen may have a separate basis to apply for temporary residence.
That application is handled by the voivodeship office and the authorities may examine whether the marriage is genuine.
Changing a surname
During the USC procedure the couple declares the surnames they will use and the surname of future children. A Polish marriage record does not replace a Ukrainian passport; Ukrainian identity documents must be updated separately.

- Booking a reception before the USC has accepted the documents.
- Using an ordinary rather than sworn translation.
- Inconsistent spelling of names and places.
- Missing proof that an earlier marriage ended.
- Assuming PESEL UKR replaces civil-status records.
- Starting court proceedings too late.
- Failing to arrange an interpreter.
